A Xero alternative when there is no file to keep
Xero is built for a business that keeps books and works with an advisor in them — bank feeds arriving, matching what the bank says against what the books say, an app ecosystem hanging off it, and an accountant who can open the same file you can. That is a good place to keep a business. It assumes the file exists. If nobody has been keeping one, and a lender has asked for a Profit & Loss covering months already gone, the work in front of you is reading statements, not adopting a system.
Keep using Xero if
- — You want a file your accountant or bookkeeper can open and work in alongside you.
- — You want the bank data arriving on its own and matched off as it lands.
- — You want the business's other tools connected to the same ledger.
- — You are going to keep books from here on, and want somewhere good to keep them.
- — You bill customers and want invoicing living in the same place as the books.
This is for you instead if
- — There is no file, and the months you have been asked about are already behind you.
- — You do not have an accountant on this and are not hiring one before the deadline.
- — You would be signing up to produce a single document, then leaving.
- — You do not want any system connected to your bank account.

| What it assumes exists | A file somebody keeps, and usually an advisor who works in it | Bank statements, and nothing else |
| How the data arrives | Bank feeds, matched off as transactions land | You upload statement files — PDF, scan, CSV, Excel, or a phone photo |
| Pricing shape | A tiered subscription, billed on a recurring basis | One-time. $6.98 per statement-month, $19.99 minimum, first statement-month free |
| Getting a statement for last year | Enter or import the history first, then report on it | The reading is the product — history is the normal case |
| After the document is delivered | The subscription continues, because the file does | Nothing continues. The files are yours |
The advisor relationship is the point, and we do not replace it
The strongest thing about Xero is not a feature. It is that an accountant can be in the file with you, see what you see, and fix what needs fixing without a handover. A business that intends to be advised is better off in something an advisor already works in, and that is a real reason to choose it that has nothing to do with price.
This product does not create that relationship and does not pretend to. It reads statements and produces a document. If your plan is to work with someone ongoing, put the business somewhere they can reach.
But a system cannot report on months it never saw
Bank feeds generally reach back a limited way, and what they reach back to is transaction data, not a set of books. Either way the categorising still has to happen for every month you need, and if nobody was doing it as the year went by, somebody is doing it now.
That is the job either way. The question is only whether you do it by adopting a system and back-filling it, or by having the statements read directly. If the answer you owe somebody is one document with a date on it, the second is shorter and it ends.
Upload one statement and see the document before you adopt a system. Start from your bank statements.
Questions people ask
Can Xero import my old bank statements?
Xero works from bank feeds and imported transaction data, and how far back you can go depends on your bank and your plan. Even where the data comes in, the transactions still have to be categorised before a Profit & Loss means anything, which is the work either way.
Is this something my accountant can work in?
No. This produces Excel and PDF files you can send to anyone, including your accountant, but there is no shared file to collaborate in. If you want that, you want accounting software.
Do I need to connect my bank?
Not here. This reads statement files you upload — PDF, scanned PDF, CSV, Excel, or a photo. There is no bank login involved and nothing is connected to your accounts.
I already use Xero but I am behind. What now?
If a deadline is driving, you can produce the statement from your bank statements and catch the file up afterwards on your own schedule. The two are not in competition — only one of them has a date attached.
